HoReCa staff for corporate events

7 min read
Short answer: for a 200-employee corporate event (Christmas party, product launch, gala), you need a full crew: 6–8 waiters + 2 bartenders + 2 hostesses. A corporate crew differs from a wedding crew via shorter duration (3–6h vs 10–12h), strict focus on image and English, potentially brand-specific dress code, mandatory contract and VAT invoice. Realistic budget: 3,500–6,500 RON + VAT for a standard 200-guest crew.

Corporate event types we cover

  1. <strong>Christmas party / end of year</strong> — busiest segment (November–December). 100–300 employees plus partners.
  2. <strong>Product launch / brand activation</strong> — cocktail party + presentation, image and signature drinks first.
  3. <strong>Conference / summit</strong> — coffee breaks + business lunch + optional closing cocktail.
  4. <strong>Team building</strong> — outdoor or activity venue, lean crew.
  5. <strong>Corporate gala / awards ceremony</strong> — formal event, strict protocol, coordinated plated service.
  6. <strong>Networking dinner / business dinner</strong> — 15–50 guests, fine-dining, discreet.
  7. <strong>Diplomatic / ambassador events</strong> — NDAs mandatory, senior candidates with verified history.
  8. <strong>Corporate cocktail reception</strong> — social event for clients and partners, 1–3h.

5 key differences from a wedding crew

1. Significantly shorter duration

Wedding: 10–12h (cocktail + dinner + party). Corporate: 3–6h, except for galas and multi-day conferences. Pricing implication: a corporate crew costs less than an equivalent-size wedding crew because you pay for fewer hours.

2. Bilingual staff mandatory (or preferred)

Weddings are usually fine with Romanian. Corporate events have English as standard — international clients, multinational partners, foreign press. Flag bilingual requirements in the brief from the start.

3. Stricter or brand-specific dress code

Weddings: standard dress code (black, white shirt, bow tie). Corporate: may be brand-specific — themed uniforms, branded polos, all-black minimalist for fashion launches. The cost of special outfits is extra, paid by client or candidate (by agreement).

4. Mandatory contract and invoice

Many private weddings pay candidates directly. Corporate finance teams always need a VAT invoice for deductibility. PHE supplies a services contract + e-Factura per OUG 120/2021 only — no informal arrangements.

5. NDAs and discretion

For pre-launch reveals, VIP events, sensitive summits, diplomatic events — per-event NDA with each crew member. Recurring clients can sign an annual framework NDA. NDAs are very rare at weddings.

Christmas party — the year's most-asked segment

The November–December stretch generates a significant share of the year's corporate requests. A few specifics:

Booking timing

For a mid-December Christmas party, book 6–8 weeks ahead (mid-October). November–December demand exceeds supply — late bookings end up with limited options or junior staff.

Typical crew for 200–250 guests

  • 8 waiters (welcome cocktail + station-style dinner + bar)
  • 2 bartenders (standard open bar + 2–3 signature winter cocktails)
  • 1–2 hostesses (cloakroom reception + ushering)

Crew total: 11–12 people × ~500 RON / 6h = roughly 5,500–6,500 RON + VAT.

Protocol and dress code

Standard PHE corporate dress code

  • Men: black trousers, white shirt, black bow tie or tie, black apron, closed black shoes
  • Women: black trousers or skirt, white shirt, black bow tie or tie, black apron, closed black shoes
  • Plus: tidy hair, no visible jewellery (wedding band excepted), short clean nails, no strong perfume

Brand-specific dress code (on request)

For product launches, brand events or themed outfits — we coordinate with the candidates. Special-outfit cost: 200–500 RON per item, paid by client or candidate (by agreement if it stays in their personal wardrobe).

Service protocol

  • Serve from one side only (left or right, consistent for the whole event)
  • No unnecessary noise (trays placed down carefully, never clinking)
  • Brief polite verbal exchanges (waiter never initiates small talk)
  • Discreet refill — when the glass is about ¼ full
  • Clear only when everyone at the table has finished

Why bilingual staff matter for corporate

For corporate events English isn't optional — it's standard. Reasons:

  • <strong>Multinationals</strong> have expat employees who don't speak Romanian
  • <strong>Product launches</strong> attract international press and overseas influencers
  • <strong>Conferences</strong> have international speakers
  • <strong>Diplomatic events</strong> draw guests from the diplomatic corps
  • <strong>Corporate networking</strong> brings in international partners

A share of our active candidates have conversational English; for events needing fluent level we filter and verify before confirming. Additional languages on request (French, Italian, German, Spanish), with 1–2 weeks' notice.

Frequently asked questions

What's the difference between a wedding crew and a corporate crew?+

Duration (3–6h corporate vs 10–12h wedding), focus (image + English corporate vs pacing + emotion wedding), dress code (potentially brand-specific at corporate), invoicing (VAT invoice mandatory at corporate). PHE candidates are the same — what differs is the brief and the protocol.

Do you have packages for startups on a tight budget?+

No dedicated low-cost package, but we offer flexibility: junior vs senior candidates, shorter duration (3–4h vs 6–8h), minimal crew. Realistic budget for a 50-employee startup Christmas party: 1,800–2,500 RON + VAT.

Can you invoice with VAT for deductibility?+

Yes, all PHE invoices include 19% VAT per the Tax Code. e-Factura per OUG 120/2021 is issued automatically for all B2B transactions.

Can I keep the same people for our recurring events?+

Yes, recommended for recurring clients. For framework contracts (3+ events/year) we offer a steady crew, a dedicated coordinator and consolidated invoicing — see the corporate page for details.

Do you also work events in other cities?+

Yes, nationwide. For events outside Bucharest we send a crew from the nearest hub (Cluj, Brașov, Constanța-Mamaia) or from Bucharest with lodging and transport in the quote.

How does a corporate waiter differ from a wedding waiter?+

Core skills overlap. Differences: corporate wants conversational English, a more formal business stance, comfort with VIP guests (CEOs, boards, journalists). Weddings are more relaxed but longer. Candidates with experience on both are the most versatile.

How much for a 50-guest product launch?+

Minimum package (2 waiters + 1 cocktail bartender + 1 hostess, 3h): roughly 2,000–2,500 RON + VAT. Adding a flair bartender for the show: +750–1,500 € on top of standard bar service.

Do you sign NDAs for confidential events?+

Yes, for any event where discretion is required. Per-event NDA with each crew member supplied. For recurring clients with sensitive events we accept an annual framework NDA.

Shall we build the crew for your corporate event?

We reply within 4 working hours with a custom quote: proposed crew, rate per role, total with VAT. See the full packages on the /corporate page.
